Our Madison-area client is currently seeking a Service Coordinator to join their team! Their ideal candidate will have a high level of customer service and will have the ability to work in a fast-paced environment.

Job Duties:

  • Work with Sales team to create/process PMA quotes to customers
  • Process maintenance contract, service and deficiency awarded quotes in ASA
  • New PMA data entry/setup
  • New PMA internal and external kickoffs (linkage between sales and operations)
  • Renewals of PMAs
  • Financial performance review of PMAs
  • Reports on all won/lost PMAs monthly
  • Provides field employee with necessary forms and support when requested (purchase orders, technical support for all IPAD field users)
  • Answering phone calls from customers and field techs
  • Equipment setup for jobs
  • Issuing purchase orders through ASA
  • Assist with contacting vendors for pricing and equipment pickup
  • Coordinate parts and equipment ordering for technicians
  • Set up billing notes at the customer, maintenance contract, and work orders levels
  • Process Daily Billings
  • Enter costs into work orders
  • Review work orders and maintenance contracts for special billing requirements
  • Review and process invoices for customer distribution
  • Process warranty/defective material work orders
  • Respond to Customer Billing Question Requests
  • Assist in tracking customer receivables
  • Review collection notes
  • Process Invoice Reversals and Credit Memos and view/print reports that are related to invoicing
  • Process Miscellaneous Billing Actions
  • Determine billing availability for maintenance contracts
  • Update invoice cycle codes for maintenance contracts
  • Bill maintenance contracts in advance of completion
  • Process job cost transfers

Job Qualifications:

  • High School Diploma or equivalent
  • 1-3 years prior experience in a service-related position
  • Proficient in MS Word, Excel, and Outlook
  • Exceptional customer service, organization, and communication skills
  • Excellent phone etiquette
