Description / Qualifications

Our client, on the north side of Madison, is looking for a Purchasing Agent to join their team.

The Order & Purchasing Agent will be responsible for purchasing supplies of direct and indirect materials as well as recording of inventory transactions. The Order & Purchasing Agent will work with our vendors to ensure on time delivery and order accuracy. They will be the point of contact for our 3rd party customers.

KEY RESPONSIBILITIES:

Order Fulfillment & Purchasing:

  • Receive order requests from customers and provide initial feedback within given timeline; place all approved orders.
  • Responsible for the day-to-day communication with customers on product shipment.
  • Place all approved orders and provide product availability timeline.
  • Hold quarterly business reviews with all 3rd party customers.
  • Determine appropriate amount of consumable or instruments parts to purchase monthly.
  • Code invoices.
  • Perform monthly physicals counts of consumables and cycle counts of instrument parts.

Export Compliance:

  • Prepare shipping documentation in accordance with country and contract requirements.
  • Coordinate with freight forwarder to arrange delivery, meeting country shipping protocol.
  • Ensure transit lanes meet country regulations.
  • Track shipments thru to delivery at final destination.
  • Coordinate export compliance checks with Genus Legal for appropriate countries, as needed.

Communication:

  • Effectively communicate in a professional manner.
  • Address customers questions and/or concerns timely, with awareness of time zones.
  • Clearly request needs for quick resolutions.
  • Provide updates with changes to timeline changes

QUALIFICATIONS AND EXPERIENCE:

  • High school diploma or GED equivalent.
  • Associates degree in Business, Animal Science or related field, preferred.
  • Minimum of 2-4 years of experience working directly in a procurement function.
  • Minimum of one year of experience in a laboratory and technical environment, preferred.
  • Ability to effectively build effective relationships with both internal and external customers and suppliers.
  • Proficient experience with Microsoft Office products.
  • Strong attention to detail.
  • Capability to read and understand contracts.
  • Knowledge of AI industry, preferred.
  • Detail Oriented, flexible and adaptable.
