Our Madison-area client is seeking a service coordinator to assist their busy team. They are a well-established company that works with construction and fire protection elements. Their ideal candidate is someone with service industry experience as well as exceptional organizational, prioritizing, and multitasking skills.

Job Description:

  • Work with Sales team to create/process preventative maintenance agreement (PMA) quotes to customers
  • Process maintenance contract, service and deficiency awarded quotes in system
  • New PMA data entry/setup
  • New PMA internal and external kickoffs (linkage between sales and operations)
  • Renewals of PMAs
  • Financial performance review of PMAs
  • Reports on all won/lost PMAs monthly
  • Provides field employee with necessary forms and support when requested (purchase orders, technical support for all  field users)
  • Answering phone calls from customers and field techs
  • Equipment setup for jobs
  • Issuing purchase orders through system
  • Assist with contacting vendors for pricing and equipment pickup
  • Coordinate parts and equipment ordering for technicians
  • Set up billing notes at the customer, maintenance contract, and work orders levels
  • Process Daily Billings
    • Enter costs into work orders
    • Review work orders and maintenance contracts for special billing requirements
    • Review and process invoices for customer distribution
    • Process warranty/defective material work orders
  • Respond to Customer Billing Question Requests
    • Assist in tracking customer receivables
    • Review collection notes
  • Process Invoice Reversals and Credit Memos and view/print reports that are related to invoicing
  • Process Miscellaneous Billing Actions
    • Determine billing availability for maintenance contracts
    • Update invoice cycle codes for maintenance contracts
    • Bill maintenance contracts in advance of completion
    • Process job cost transfers

Job Requirements:

  • 1+ year of administrative experience required
  • 1+ year of service/dispatch experience preferred
  • Exceptional Word, Excel, and proofreading skills (tested)
