Job Responsibilities:

Executive Support

  • Proactively support members of the EOC and VP level with various administrative matters including:
    • Utilizing software effectively and efficiently to create, proof, and distribute correspondences, reports, spreadsheets, power point presentations, etc.
    • Updating, filing, copying, and other record maintenance
    • Working with their events department to organize details of internal and external meetings including meeting space, catering, invitations, directions, etc.
    • Organizing travel arrangements and travel itineraries
    • Scheduling and maintaining calendars
    • Preparing and submitting expense reimbursement requests
  • Serve as ambassador for EOC members and as directed, screen and prioritize incoming mail, phone calls, emails, requests, etc.
  • Correspond and follow up internally and externally with various individuals on behalf of the EOC and VP level

Leadership Meeting Organization

  • Under the direction of the Corporate Secretary/Treasurer, maintain the corporate records for the company and all subsidiary companies
  • Organize and prepare agendas, supplemental materials, and other corporate records for Board of Directors, Shareholders, EOC, Retirement Plan Committee and other corporate meetings
  • Prepare meeting minutes and other follow up correspondences for meetings
  • Participate in meetings and assist in the development of new procedures and updating of existing procedures to streamline workflow


  • 5-7 years of Executive level support experience (supporting senior management/board level)
  • Demonstrated proficiency with MS Windows-based software applications, including Word, Excel, Outlook and PowerPoint required
  • High degree of professionalism and confidentiality
  • Must be flexible, innovative, proactive, and able to work with people at various levels in the organization
