Our Madison-area client is looking for a motivated, self-driven, reliable individual who is interested in an amazing career opportunity with their company. The ideal candidate for our Office Assistant role will be a hard-working professional, able to undertake a variety of office support tasks and work diligently to meet deadlines. This person will be comfortable working with others in a team environment, with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

 

Job Duties:

  • Answering phone calls, copying, faxing, filing and other clerical duties
  • Submits employee expense reports and receipts
  • Distributing messages, correspondence and documents
  • Data entry and reconciling accounts
  • Maintains departmental information databases and ensures data accuracy
  • Files employee files with confidentiality
  • Keeps inventory and maintains office supplies
  • Preparing outgoing packages and mail
  • Works alongside our headquarters to help Payroll and Human Resource Department
  • Run errands as needed

 

Additional tasks you may assist in:

  • Weekly payroll processing through ADP
  • Processing new hires, re-hires and terminations
  • Maintaining employee files and confidentiality
  • Typing out documents and letters
  • Office supply orders

 

Qualifications:

  • 2+ year of administrative experience
  • 1+ year of data entry experience
  • 1+ year of customer service experience
  • Microsoft Office experience (Intermediate Level Word & Excel)
  • Knowledge and experience with QuickBooks
  • Employee should be self-motivated with the ability to prioritize detail-oriented tasks
  • Friendly personality and able to work alongside others in the office
  • Outstanding communication, interpersonal skills, and customer service
  • Payroll experience with ADP not required, but can be advantageous in securing the job
  • Some College preferred
  • Driver’s License (Preferred)
